If you are interested in advising a club before or after school during the 2023-2024 school year, please complete the electronic form.  

 

The number of hours will be based on the designated amount in the contract.

 

1st registration:

October 1, 2023

 

2nd registration:

December 1, 2023

3rd registration:

February 1, 2024

 

Any club or activity not registered by February 1, 2024 will not be considered by the Extra-Curricular Committee for this school year.  

 

Near the end of the school year, the committee will determine if any funds have not yet been allocated.  At that point, any remaining funds shall be distributed equally among 2023-2024 advisors.

Attention Advisors -​

2023-2024 Variable Extra-Curricular Activity Funding Application for SHEA Members.

Please complete the form below prior to October 1, 2023. If funds are still available, the second run of applications will take place on December 1, 2023, and again on February 1, 2024.

 

An official summary of what you applied for and what will be approved by the Extra-Curricular Committee will be returned to you through inter-school mail.  Additionally, a list of VEA Clubs will be listed by each school on the SHEA Website.

 

As in past years, clubs will be limited to 20 hours, require at least five (5) students to attend, and for teachers to maintain attendance records.

Variable Extracurricular Activities
Advisor Responsibilites and Parameters

 

1.  Any person receiving pay from the extra-curricular account must be a current member of SHEA and a current teacher in the Sweet Home Central School District.

 

2.  Advisors must conduct their activity outside of the normal workday.  Any aspects of an approved activity that routinely occur during the regular school day will not be considered in the compensation.

 

3.  Any activity that is not approved by the committee will not be paid.  All activities must have their on-line application completed prior to 9/15, 12/1 and 3/1 each school year.  Notification of approval will be sent out within two weeks of the deadline date.

 

4.  End of the year paperwork from the Human Resources Office must be completed by June 1 with building principal's signature.  Forms must be complete and accurate before payment will be authorized.

 

5.  An advisor cannot be compensated for two clubs running simultaneously (same days and times.)

 

6.  Compensation is based upon time spent with students.  Planning and/or preparation time is considered to be a necessary component of the activity but is NOT compensated separately, nor should be completed while advising the students.

 

7.  Variable Extracurricular Activities are open to all students; the only acceptable reasons for excluding a student is due to academic eligibility issues, or disciplinary or safety issues pertaining to the specific student.  Sessions should have at least five students in attendance.  

 

8.  There will be no fees or other costs passed on to the students for any approved variable extracurricular activity; students cannot be required to fund-raise for any variable extracurricular activity.

 

9.  Compensation is based on an hourly rate and not to exceed the number of hours approved by the committee.

 

10.  In the case of multiple advisors, the compensation allocated for that activity will be split evenly among the advisors.

3.0  Student Related Activities

 

3.1  Variable Extracurricular Activities

 

3.1.1  The Following amount of money shall be budgeted for the purpose of salaries to be paid for extracurricular activities:

3.1.2  A committee of seven (7) persons, chaired by the Superintendent of Schools or his designee, shall be established for the following reasons:

 

3.1.2.1  To establish priorities for extracurricular activities in the district;

 

3.1.2.2  To prepare a district program of extracurricular activities;

 

3.1.2.3  To develop a compensation program for each activity based upon a minimum hourly rate of $25.00 per hour.  If the account is not depleted, the hourly rate will be increased to a rate at which all the funds in the account will be paid out to teacher advising the extracurricular activities.

 

3.1.2.4  To approve the program of extracurricular activities when proposed by each building;

 

3.1.2.5  To develop evaluation procedures for the programs.  If the evaluation shows the activity me the projections submitted initially by the advisor, then the advisor shall be paid the amount agreed upon in step 3.1.2.3
